When Rain Changed the Plan, Calm Coordination Saved the Day

Candice and Iain’s wedding day began so beautifully.


The sky was bright, the sun was shining, and the lawn at W Hotel looked exactly as everyone had hoped. Their décor was all set, guests were arriving with excited chatter, and the couple, together with their entourage, were soaking in the moment with photos and videos at the lawn. Just before the procession, Candice stood in line with her bridesmaids, ready to walk in.


And then, in the span of a minute, everything changed.


Out of nowhere, the rain came pouring down.


What was once a calm and happy scene turned into complete chaos. Guests ran for shelter, stylists hurried to save the florals and décor, hotel staff scrambled to protect the AV system, and everyone was trying to get to safety as quickly as possible. With only two lifts serving the lawn level and ballroom floor, it was crowded, frantic, and overwhelming. There are no photos of that moment — only the memory of how suddenly everything unraveled.


But this is also the part of the day that reminded us why wedding coordinators matter so much.


When emotions are high and plans fall apart without warning, someone needs to stay calm. In the middle of the madness, we had to think quickly, make decisions immediately, and guide the day forward. We switched the order of the programme on the spot, moving the tea ceremony ahead to buy the stylist enough time to set up the solemnisation space at the wet weather venue.


Slowly, things began to settle. Once the tea ceremony started, the day found its rhythm again.


Then, almost ironically, by the time the tea ceremony ended, the rain had stopped. The couple asked if we could move the solemnisation back to the lawn. And while we understood the hope behind that request, we gently advised against it. The ground and chairs were still wet, the bride’s gown could have been stained by the muddy lawn, moving the décor again would delay the programme further, and most importantly, there was still no guarantee the rain would not return.


Sometimes, being a wedding coordinator means more than just running a timeline. It means being a steady voice in an emotional moment. It means helping couples make difficult decisions with clarity, care, and confidence. It means protecting not just the schedule, but the experience.


Candice and Iain’s solemnisation may not have happened exactly as originally planned, but it still ended on a beautiful note — intimate, comfortable, and filled with so much heart. And sometimes, that is what matters most: not that the day went perfectly, but that even when things went wrong, it was still held together with grace.
