When 20 Vendors Came Together for One Beautiful Wedding

Second only to Georgia and Damon’s wedding, Janae and Theodore’s celebration was the next biggest we had taken on — a 700-pax wedding that was grand in scale, but still incredibly close to the heart.


The couple were relatively young, and there was something especially endearing about serving them. It felt a little like watching our younger brother and sister get married. Their entourage brought so much energy and excitement to the day, and rather than being occupied with logistics, they were fully focused on hyping the couple up and enjoying the celebration. And honestly, that is exactly how it should be. When you have wedding coordinators around, your family and friends get to be fully present for the moments that matter.


Because of that, we took on the responsibility of coordinating every little detail behind the scenes.


The biggest challenge? Vendors. There were 20 different vendors involved in this wedding, which essentially meant 20 different group chats, 20 different moving parts, and 20 different teams to align. It was a lot — but it also meant we had to be especially intentional about communication. We made it a point to touch base with every vendor beforehand so they knew that we, not the couple, were their point of contact on the actual day. That way, Janae and Theodore could stay undisturbed and fully enjoy their wedding without being pulled into logistics.


With that many people involved, we had to be incredibly clear on who was delivering what, when each handover was happening, and where the possible gaps could appear. There was no room for assumptions. Every detail had to be tracked, anticipated, and followed through carefully.


And yet, that is also what made the day so meaningful.


There was something deeply satisfying about seeing all these people, plans, and moving parts come together to fulfil the wishlist of a couple so dear to us. Weddings of this scale require structure, but they also require heart — because behind all the coordination is still the simple desire to give a couple the day they have dreamed of.


Thanks to our prior experience with large-scale weddings, the day flowed seamlessly. More than anything, this wedding affirmed something we have come to trust deeply in ourselves: that our systems, our SOPs, and the way we work truly hold up, no matter the scale of the celebration.


Big or small, the goal is always the same — to carry the day well, so the couple can simply live in it.
